Participative Teamworking.

This concept has a second name: Participative Crowdsourcing. That’s a precise definition of concept. It’s a definition that we have created from the business model it’s based upon:

Crowdsourcing. We’ve seen that in Part 4 of our free Business Model Tutorial.

In this article, we focus (we define) a variant of Crowdsourcing that we call Participative Teamworking, in that we focus on Task priorization in a Team of people in a fair and easy way. And that’s what describes a true Disruptor.

Should you find this article any interesting, you’ll find Excel Tables for Team priorities, as well as for determining your Personal Task Priorities in the typical 1-person startup, ready for download at the bottom of this article. These Excel Tables are as well included with all our products, and you’re invited to fine-tune them for your belongings, then share them free of charge in your SocialMedia network of choice (Creative Commons, cc-by-sa).

And so we provide that simple Excel Table with all our Applications, in continuous integration. You’ll find both the Team and the personal version in the Tutorials menu.

  • on the left: ideas.

any member of your Team should be allowed to enter their wish for the Team, the company, your very wish for Success, based on your personal experience and ideas to make this world a better place (a Target that we’d always recommend). In the end, it’s up to you. We just give a guideline here. Keep it short and enter your idea in the Topics column.

  • on the right: votes.

By default, we’ve added 5 columns, one for each member of your Team. With a little experience in Excel, feel free to copy and insert more columns. As we want to be fair in Participative Teamworking, everyone shall get the same amount of 10 votes, here. 

In case you want to insert another voting column for another Team member, just make sure to adjust the formula for the Votes column on the left, accordingly.

On Top of each voting column, there is a vote counter (white on green). When the voting is complete, it should show 10 votes above each Team member’s short name (MBE).

As we are a small Team of people, it is important that not all wishes are the same. If we want to be any successful here, we should really try to decide for the most valuable way to go. We are small, we got nothing to lose, but we have also limited resources. Good news is that we also need little, and in a lot of countries around the globe, there’s additional benefits for Small Business owners, the largest customer and people base on this very Planet Earth. And so, we all got 10 votes to decide. We recommend that you give every Team Member a weighted vote, as you get a better idea weighting and good balance even with a small Team.

And so, we recommend that everyone should get 5 single votes (5×1 vote), one double vote (1×2), and one triple vote (1×3) for the best idea on that very list. It can be from anyone, including yourself. But everyone else will get the same chance to contribute.

The voting is continuos, so you can repeat it in any Team meeting if you want. You can do it so that you print that Excel Table on a Sheet of Paper and count by hand. If you have an iPad or Tablet though, or a beamer and a wall projection, or a large display, you can also allow everyone to vote in turns, right within that one Excel Table. 

If you want to make it really fair, you can start asking everyone in a row for their favourite (3 votes), first. Then, the last one can start again pledging their 2nd favourite (2 votes). Finally, everyone can name 5 single votes (5×1 vote).

So noone gets an advantage from being first or last.

The table will automatically count all your votes. On the top of each column, there is an automated vote counter, so that you can control everyone will keep to the limit of 10 votes.

And now we get to the core of the whole thing. In the center of the Table, you’ll find two coloured columns. The first one is the idea vote for each topic. Look!

There’s a small Filter next to it.

Click on that [V] icon next to the Title. It’ll allow you to display automated Sorting. It will sort all your Idea Topics, and show them all sorted Top-Down.

Be careful that there may be no empty lines between Topics, as that automated Excel sorting only follows items to the next empty line.

  • Automated Priorization.

Yes, Yes! Next to that, we even got an Automated Priorization.

  • Prio 1 means urgent (complete as soon as possible)
  • Prio 2 means standard (complete for next meeting)
  • Prio 3 means minor (should be done if there is time)
  • and everything else is more or less optional.

In the default configuration, the Priorities are automatically deducted from Total Votes.

  • 10+ Votes give a Prio 1
  • 7..9 Votes give a Prio 2
  • 5..6 Votes give a Prio 3
  • 3..4 Votes give a Prio 4
  •   2   Votes give a Prio 5

The way each Team member selects their priorities should be free for everyone to decide. However, it might be a general guideline to focus on the measure of how many customers will benefit from that? – all, some, or singular, and put that common vote in some relation to the effort involved. If you manage to focus on growth and benefit, altogether, your journey on the path to natural, healthy growth and contribution has already been started.

Weighted Priorization.

Well, we’ve made some experiences. With a voting system like that, it’s clear that the crowd’s wishes are mandatory. But, are they as well efficient? – is that relevant enough? – will we earn any money from that? – and what if that is very nice, but very high effort?

Here comes in the weighted Priorization. It will show the votes in relation to the total effort. Keep in mind though that it is relatively easy to get a single vote for a small task, but relatively difficult to get 10 votes for a much more important task that has high effort, just because it’s easier to collect 1 vote than 10. That’s more or less a psychological argument.

However, to make good for this, we’ve arranged it so that the weighted vote will divide the Total Votes by the square root of the Task Effort. And so, a strategic task (very interesting in the long run, even though with high effort) will get a fair chance of realization.

Now – how can we assure that the Tasks with highest priority (1) are really executed? – well, here comes the real clou, like a small light on the horizon in early morning.

Automated Budgeting.

Yes, Yes! We have implemented Automated Budgeting.

In the center, there is a white column called Effort.
(white: enter value, shaded grey: this value is automatic).

In the Effort column, you can enter the estimated Effort of any Task in Hours. It can as well be an intermediate effort, but in any case, the effort should roughly match the Target description in the left column. So if you are specifying an intermediate Target, for a fair voting, be sure to name the effort. Take a minute to discuss that with your team, but not more. The author of any idea should make a first suggestion, then if noone objects, take it.

And now comes the magic. For every Topic, there is an automated bugeting that comes with the Priority of that Task, which comes from the participative voting.

  • Fair chances for everyone.

Now your Task should be to suggest an idea that everyone in the Team will find genius. Everyone can suggest Topics and ideas in turns. Enter yourself as an author, and let people vote for the next big thing to realize, to publish. Finally, through that automated budget calculation, you’ll find a good suggestion for the payment.

Finally, as we the people are all so different in the variety of our projects and budgets, on the very top right of the table, there is a single Input Field that will allow you the budget of a Prio 1 task. It could be 5 €/h, it could be 10 €/h, it could be 25€/h. That’s completely up to you. What we can tell here is that all other Priorities will automatically be budgeted as well.

  • Prio 1 gets 100% of the Prio 1 budget (5 €/h)
  • Prio 2 gets 80% of the Prio 1 budget (4 €/h)
  • Prio 3 gets 60% of the Prio 1 budget (3 €/h)
  • Prio 4 gets 40% of the Prio 1 budget (2 €/h)
  • Prio 5 gets 20% of the Prio 1 budget (1 €/h)

Try to enter 10 in the top right input field, and you’ll see that all budgets will double, throughout the full application.

As probably an idea’s author knows best what was meant by that, it would be natural to ask the Topic idea’s author for realization, first. If they show no interest, any idea shall be open to everyone. To decide for that, there is an author column on the left. If the Team agrees that someone else should carry on that task, enter a new representative here.

And now, it’s up to you. Keep our small scheduler as a Starter.

It is based on a sophisticated priorization method called Critical Chain Project Management (CCPM), a common multi-project management method. It allows you to solve any kind of problem optimal in theory, as it ensures that the most important things are done first. 

Make sure that you agree upon using the Total Votes (or Priorities, which is deducted from it) or the Weighted Vote (taking account the effort of tasks). Both have its Pros and Cons. You might as well split every task in pieces, so that the Total Effort shall only be defined in the effort that a single person should spend on that Task up to the next meeting.

In a Team of People, in a Startup, in a Small Business consultancy, even in a larger company, we are encountering the same problem:

  • any Team of 2-3 people are not the same.
  • any Team of 2-3 people is a collection of different wishes. 
  • any Team of 2-3 different people would also be based on different value systems. 

 Examples:

  • some people believe in fair chances for everyone (American Dream / Liberalism).
  • some people believe in hierarchy and important people (Authoritarian / Kingdom).
  • people believe in a small gouvernment and maximal individual freedom (Libertarian).
  • people believe in sharing and social benefits for the poor (Social Democrat / Socialist).
  • people believe in that you have to force the wealthy to share (Communist).
  • people believe in a peaceful coexistance with Nature (Environmentalist / Green).
  • people believe in god, where their god may or may not be the same (Religious).
  • and some people believe in a fair compromise between all of these (Democrat).

What we believe in at Dynamic Applications are Transparency, Privacy Protection, and Participation. In being an App developer company, we build software for thousands of people. And we are building a software that allows you to check quickly through all your options and ideas and find the optimal compromise between any number of conflicting requirements.

Even more, it allows you to estimate any single Input Value over Time, and instantly, Dynamic Applications will show you the statistical median expectation of all your assumptions.

And so, we the people have asked the question of importance (what is important, and why?) at about any day, from even years before i finally started to develop this company.

However, as the answer to that quesion of True Values depends very much on your personal opinion, lifestyle, history and general view on this world, the answer is necessarily diverse.

So that’s why i’ve offered you to decide for yourself which formula you find important, and why i’ve been working more than a year of my lifetime on a completely self-verifying equation solver including its own formula editor, live in the application.

For example – if we look back now, the Progress of Dynamic Applications over time has been dependent on two facts: me posting that one Tweet for the roadmap (as i hoped and i bet that it would be possible to do), you voting on that one Tweet, making it Top Nr. 1 user vote of 2016.

Good news is that when you are trying to create a truly participative company like that, most of the time you have no idea how much effort can be hidden in a simple Tweet like that.

And so, most of it you find out just when you try to build it for the first time. And then, you don’t want to make yourself the complete laugh of the neighborhood (in 21st century, insert your SocialMedia Fancrowd here), and so you start going and then you build it.



Apart from these 3 values, we believe in personal freedom of mind, as long as there’s tolerance (every person on earth shall be allowed to pursue their own way to happiness, but you have to respect that others may want to follow their own path, or may even want to follow another basic idea), and in sustainability. Where sustainability is maybe the most important one. We believe in the existence of Earth, our planet as a whole, and that mankind is wise in living respectful towards nature, so that any other being on earth shall also be allowed to pursue their way to happiness. And here you see that life is a compromise between conflicting requirements.

That’s why we’ve created, that’s why we’re creating Dynamic Applications.

So that’s also why we’ve created the Dynamic Idea and Roadmap Competition. We let people around the globe vote for the best possible idea, the best possible feature to develop to run next on our common platform. So that you, our customers, can decide for the best way to go.

Finally, we may also believe in god. That’s up to everyone to decide, but it’s certainly private. Everyone shall decide that for themselves. We deduct that from Freedom of mind. So we don’t write much about it on this very website. In this very case, Privacy protection is certainly more important than Transparency.

You wouln’t believe how many people come by your door and tell you it’s not possible to do a project like that, as every Team in the world needs a leader.

Remember that we want to be fair, so let everyone win and execute a good idea, sometime.

It is very important that you take the whole Team with you.

If some people are always the smartest and others are always the losers, this concept will not succeed for a long time, to the harm of everyone. If you can not agree in discussing, you can add the rule that the next person in line should be allowed to take over a topic, first, like you all are playing board game. Believe me, it can be a lot of fun in playing board games at work and don’t take everything too serious. This simple method will ensure that the most interesting, promising Tasks are executed first. And the natural benefit will be that you concentrate on important things to solve, and go away from that “i have an idea and i demand it to be done right now” – discussions.

Think about that concept as a Project Manager, a Team Leader, a Department Leader.

Wouldn’t it be great if you can go away from being responsible, from being made guilty for any failure of your Team members, your employees? – here you go.
